Real estate CRM in Nigeria: what sales teams need

A real estate CRM in Nigeria has four jobs for a sales team. It pulls every enquiry from WhatsApp, portals and adverts into one pipeline, gives each buyer one owner, prompts a follow-up after every site inspection, and shows the sales manager what happened today. This guide is for a developer’s or agency’s sales office with 5 to 30 marketers and a sales manager, more than for the solo realtor.

Where property deals die: after the inspection

Getting a buyer to site takes work. Then the buyer says they need to speak to a spouse, a brother abroad or a bank. Nobody sets a date. The marketer moves on to Monday’s new enquiries, and the warmest lead in the office goes quiet.

Three rules close that gap.

  1. No inspection ends without a next step and a date, agreed with the buyer on site.
  2. The owner sends a message the same day, before 20:00.
  3. If the buyer is silent, the owner follows up on day 2 and day 7, then once a month.

Good evening [buyer’s name], thank you for coming to see the three-bedroom terrace today. I have attached the price list and the 12-month payment plan we discussed. You said you would speak with your family this weekend, so I will call you on Monday at 11:00. Amaka

The CRM’s job here is specific. It creates the follow-up task when the stage changes to “Inspection done”, and shows the manager every inspection with no next step.

WhatsApp is where the pipeline lives

DataReportal’s Digital 2026: Nigeria report counts 109 million internet users in Nigeria in late 2025, which is 45.5% of the population. It gives no WhatsApp figure, so we will not quote one.

A property sales office needs no figure to see the pattern. The brochure, the price list, the location pin and the proof of payment all travel by WhatsApp. The trouble is where those chats sit: on 20 personal phones.

  • When a marketer leaves, the buyer conversations leave too.
  • The manager cannot see what was promised, or at what price.
  • Two marketers can message the same buyer without knowing.

The fix is one office number that the whole team works from, with every chat attached to the buyer’s record. Our guide to one WhatsApp number with multiple agents sets out the ways to do it. One rule to know first: the WhatsApp Business Messaging Policy (last updated 23 September 2026) requires opt-in permission before you contact someone, so collect it on your enquiry form.

Deciding who owns the lead

The same buyer enquires from a billboard, a portal and a friend’s referral, and three marketers each believe the commission is theirs. Settle it with written rules that the system applies.

  • One buyer, one record. Match on the phone number in international format (starting +234, +44 or +1), so duplicates merge.
  • First to register owns the lead. The date and time on the record decide it.
  • Ownership expires. Choose a period, for example 30 days with no logged activity. After that the manager can reassign.
  • Outside realtors are named. If external agents bring buyers, record the referrer on the deal.

Say Amaka registers a buyer on 3 March and takes her to site on 8 March. On 20 March the same buyer replies to Tolu’s advert. The system finds the number, shows Amaka as the owner and tells Tolu. The record has the dates.

A pipeline for property sales

What a sales manager must see every day

A manager with 20 marketers cannot read every chat. One screen, checked at 09:00, should show six things.

  • New enquiries from yesterday, with the time each one waited for a first reply.
  • Leads with no owner or no next step.
  • Inspections booked for the next 7 days.
  • Inspections held with no follow-up logged.
  • Activity per marketer: chats answered, calls made, inspections held.
  • Instalments due this week, and those overdue.

Diaspora buyers and instalment plans

Buyers abroad

A buyer in Toronto is five or six hours behind Lagos, depending on the season. A message sent at 10:00 Lagos time reaches Toronto before dawn.

  • Store the buyer’s country and time zone on the record. Schedule messages for their evening.
  • Count a video call from site as an inspection.
  • Link the relative who visits the site to the same deal, so both conversations sit together.
  • Save numbers in international format. If your CRM connects through the WhatsApp API, Meta’s pricing page says charges are based on the country calling code of the recipient’s number (checked 2 October 2026).

Off-plan sales and payment plans

An off-plan sale keeps going long after the deposit. A payment plan can run for 12 or 24 months, and every instalment is a point where the deal can stall.

  • Record each instalment as a dated task with the amount.
  • Send reminders 7 days and 1 day before the due date.
  • Flag anything overdue to the manager the next morning.
  • Send a construction update with photos each month.

Keep the ledger in your accounts system. A CRM holds the schedule, the reminders and the conversation.

You will also hold identity documents and payment records. Store them securely, limit who can see them, and get consent before you send marketing messages. The Nigeria Data Protection Commission, established under the Nigeria Data Protection Act 2023, enforces data protection rules in Nigeria. Ask your legal adviser what applies to your office.

What it costs: per user or flat

Many CRMs charge per user, per month, and bill in US dollars. The bill grows with every marketer you add.

Say a CRM charges $12 per user a month (an example figure, not any vendor’s price). A team of 5 pays $60 a month and a team of 20 pays $240.

A flat price stays the same as the team grows. Socianet’s Core plan is £197 a month for the whole team, every seat included, excluding VAT. It is billed in pounds sterling, so it is not a naira price. There is a one-off setup fee of £250, and messaging and AI usage are billed as used.

A fair comparison looks like this.

  • With 5 marketers or fewer, per-user pricing is usually cheaper. A free plan may be enough.
  • With 15 to 30 marketers, or a team that is hiring, a flat price is easier to budget.
  • A price in dollars or pounds means your naira cost moves with the exchange rate. If a stable naira bill matters most, ask each vendor whether it can quote in naira.
  • On any CRM that uses the WhatsApp API, Meta’s message charges are separate.

A short checklist for choosing

Ask every vendor, including us, the same seven questions.

  1. Do WhatsApp chats sit on the buyer’s record, from one office number?
  2. Does every new enquiry get an owner and a first reply without anyone typing?
  3. Can you build your own stages, including instalments?
  4. Does it catch duplicate phone numbers and merge them?
  5. Can the manager see activity per marketer, and leads with no next step?
  6. Can it import your Excel sheet, and export everything if you leave?
  7. What is the total monthly price for your team size, in which currency, and who does the setup?

Frequently asked questions

What happens to enquiries that come in while I am at an inspection?

With a CRM connected to your office WhatsApp number, the enquiry gets an automatic first reply within seconds and a named owner. If you are at site, the rota passes it to the next marketer, or the reply tells the buyer when you will call.

Can I see which of my agents is actually working their leads?

Yes, if chats and calls run through the CRM and not through personal phones. An activity report shows enquiries received, replies sent and inspections held for each marketer. Check the opposite list too: leads with no activity for 7 days.

What happens to buyers who say they are not ready yet?

Move them to a “Not ready yet” stage with a reason and a date. The CRM sets a task for that date and can send a monthly update in between, such as new prices or construction progress. The buyer stays with the same owner.

Half my buyers are in the diaspora. Does this still work?

Yes. WhatsApp works across countries, and a CRM can store each buyer’s country and time zone so messages go out in their evening. Link the family member who visits the site to the same deal.

Can it handle off-plan sales and instalment payment plans?

A CRM with custom stages and dated tasks can. Each instalment becomes a task with an amount and a due date, with reminders before it and an overdue flag after it. Your accounts system still records each payment.
