WhatsApp Business multiple users on one number (sales guide)

The WhatsApp Business app runs on one phone plus up to four additional devices, all signed in as the same account. That works for two or three people who talk to each other all day. Past that, sales teams move the number onto the WhatsApp Business Platform (the API), where each rep has their own login and each lead has one owner.

Below are the three ways to set it up, what each costs and what happens to your chat history. Rules and charges were checked against Meta’s own pages on 2 October 2026.

The app’s real limit

WhatsApp announced multi-phone linking on 25 April 2023. Your main phone holds the account, and you can link up to four more devices to it. The same announcement says employees can reply to customers from their own phones under the same WhatsApp Business account, so sharing is allowed.

The limit is the account itself. The app has one identity, the business. Every linked device sees every chat, and no message carries the name of the person who typed it. WhatsApp also logs out all linked devices if the main phone is inactive for a long period.

WhatsApp’s Business app features page says a Meta Verified business can link up to 10 devices and agents (checked on 2 October 2026). WhatsApp also says Meta Verified, a paid subscription, lets you assign chats to agents in the app. Check inside your own app for what your account allows.

Why linked devices break down as the team grows

Sales teams feel the limit in four places.

  • Who owns the lead. Say Delta Freight asks for a quotation at 16:50. Amaka reads it between calls. Tolu sees it marked as read and assumes it is handled. Nobody replies until the next morning.
  • Who replied last. The chat shows that the business replied, without saying which rep. Whoever takes the customer’s next call has to guess what was promised.
  • What happens when a rep is off or leaves. Nobody is told to cover a rep on leave. A rep who leaves keeps access until someone removes their device from the main phone.
  • What the manager can see. Chats, one at a time. There is no count of new leads, no time to first reply and no list of quotes waiting for a follow-up.

Option 1: linked devices on the Business app

Best for two or three reps who sit together. A few rules keep it working.

  1. Put the number on a phone the company owns. Keep it charged and in the office.
  2. Link each rep’s phone or laptop from the main phone (open Linked devices in the app).
  3. Sign every reply with a first name: “Amaka at Baobab Foods”.
  4. Give each rep a label in the app and tag every chat with its owner.
  5. Keep stage, value and next step outside the chat. A sales pipeline template in Excel is enough at this size.
  6. When a rep leaves, remove their device the same day.

Meta’s documentation says messages sent from the Business app are free. The 24-hour rule and message templates sit under the Platform-specific terms of WhatsApp’s Business messaging policy, so they do not apply to the app.

Option 2: coexistence (app and API on the same number)

Coexistence connects your existing Business app number to the API while the app keeps working on your phone. Meta’s developer page calls it onboarding WhatsApp Business app users. You do it through a provider that supports it, and the app must be version 2.24.17 or higher.

Messages are mirrored between the two, so the owner can keep replying from the phone while the team works in a shared inbox.

What changes when you connect, according to Meta’s page:

  • Group chats are not synchronised to the API side. They stay in the app.
  • Broadcast lists are disabled and become read-only.
  • Disappearing messages, view once messages and live location are switched off.
  • All linked devices are unlinked. You can link supported ones again afterwards.
  • You choose whether to share chat history. One-to-one chats from the most recent 6 months can sync.
  • Messages sent from the app stay free. Messages sent through the API follow API pricing.

Keep using the app on the main phone. Meta lists a main device that is inactive for about 14 days as a reason the API connection is removed.

Meta’s page does not list supported countries, so ask your provider to confirm coexistence for your country code.

Option 3: a shared inbox on the API

The Cloud API is hosted by Meta. It is a connection for software, so your team works in a provider’s tool built on top of it: a shared inbox or a CRM.

That software gives a sales team what the app lacks. Each rep has a login, each conversation has an owner and the manager sees activity per rep.

The API also brings the Platform rules in WhatsApp’s Business messaging policy. You can reply in your own words for 24 hours after a customer’s last message. Without coexistence, the number leaves the app. Meta’s phone number requirements say a number already in use on WhatsApp or the Business app cannot be registered until that account is deleted.

Assign leads, not chats

A chat is a thread of messages. A lead is a person or company with an owner, a stage, a value and a next step. Whichever option you choose, agree these five rules:

  1. One owner from the first reply. Share leads out in turn, by territory or by who is on shift.
  2. Every reply carries a name. The next person sees who said what without asking.
  3. Cover is named in advance. When Sam is off, Tolu replies to Sam’s leads. The owner does not change.
  4. Leavers hand over before their last day. Reassign every open lead in one sitting, so the history stays with the lead.
  5. The manager checks three numbers each week. Time to first reply, leads with no next step and leads per rep at each stage.

What it costs

The software

Linked devices cost nothing extra. Shared inbox tools and CRMs charge either per user or one price for the team. Work out a year’s total for your headcount.

Meta’s message charges (API only)

Meta has charged per message since 1 July 2025. Rates for template messages vary by category, volume tier and country.

Meta’s page on pricing for non-template messages says ordinary replies inside the 24-hour window are charged too from 1 October 2026, at the same rate as utility and authentication messages in each market. On that page’s terms, a sales chat with 20 replies from your side is 20 charges.

Meta’s pages do not fully agree yet. On 2 October 2026 the main pricing page still said “All non-template messages are free”, and the WhatsApp Business pricing page still described service messages as not charged. Budget for the charge until your WhatsApp provider confirms otherwise, ask for its rate card and check your first October invoice.

Both developer pages say messages inside the 72-hour free entry point window stay free. The main pricing page says that window opens when a lead from a Click to WhatsApp ad messages you and you reply within 24 hours.

Moving your number across

You keep the same number on both routes. The chat history differs.

  • With coexistence, Meta says you can use the app and your provider’s software together and your messaging history is preserved.
  • With a full move, you delete the account in the app first. Meta says the history is lost and tells you to back up your chats before you start.

Before the move:

  1. Export or back up the chats you need.
  2. List what the team uses in the app today: groups, broadcast lists, labels.
  3. Collect opt-in from the contacts you plan to message first.
  4. Submit your follow-up templates. Meta says review can take up to 24 hours.

Allow a few days for Meta’s checks on your business and display name. The pages we opened give no fixed time. A newly created business account also starts with a messaging limit of 250 unique contacts in a moving 24 hours for messages sent outside the reply window, so do not plan a large first-day announcement.
