
CRM with unlimited users: what per-seat pricing costs
A CRM with unlimited users charges one monthly price for the whole team instead of a fee for each seat. Per-seat pricing is usually cheaper for a very small team and costs more with every person you add. On the list prices below, a flat £197 a month becomes cheaper than a £20 seat at 10 users, and cheaper than an £80 seat at 3 users.
How per-seat pricing works
Most CRMs charge per user (a “seat”) per month. Your bill is the seat price, multiplied by the number of people with a login, multiplied by the months in the contract.
Three things change the seat price:
- The tier. Each vendor sells several plans. Features such as automation or reporting often sit on the higher ones.
- The billing basis. Paying for a year upfront usually costs less per month than paying monthly.
- Who counts as a seat. Managers, admin staff and part-time reps normally need one each.
Per-seat pricing is fair for small teams, because you pay only for the people who use the system. The cost appears as you grow. Some teams then share logins or leave people out, and the pipeline shows only part of the work.
The list prices we used
We opened each vendor’s own pricing page on 2 October 2026 and recorded what it showed. Currencies are kept as listed. We have not converted anything.

Three notes on what is missing, all as listed on 2 October 2026:
- Pipedrive showed US dollars on its UK page when we opened it. Your browser may show pounds. The page showed annual-billing prices. Monthly-billing prices appear only after you switch a toggle, so we could not confirm them on 2 October 2026 and they are not in the table.
- HubSpot Sales Hub Starter showed two prices on its card on HubSpot’s page ($7 and $20 per seat a month). We could not tell from the page which billing terms apply to each, so it is left out.
- Zoho CRM: its pricing page loaded in Indian rupees and we could not confirm the billing basis. Its paid prices could not be confirmed on 2 October 2026 and are not used here.
What a team pays at 5, 10, 25 and 50 seats
Each figure is the seat price as listed on 2 October 2026, multiplied by the number of seats, per month. The prices come from the Salesforce, Pipedrive and HubSpot pricing pages. Add-ons, onboarding and usage charges are left out for every vendor. Socianet’s prices exclude VAT, so check how each vendor treats tax before you compare.

Compare like with like. Only the pound rows can be set directly against each other. For the dollar rows, convert at your bank’s rate on the day you pay. The Salesforce Pro Suite and Pipedrive rows are annual-billing prices shown per month, and the HubSpot row uses its starting price.
These plans do not include the same features. Check what each includes before you compare the price.
The break-even point
The sum is short:
Break-even seats = flat monthly price ÷ price per seat. Round up to the next whole person.
Against Salesforce Starter Suite at £20 a seat (as listed on 2 October 2026), Socianet Core at £197 gives 197 ÷ 20 = 9.85. At 9 seats the per-seat plan costs £180 and is cheaper. At 10 seats it costs £200 and the flat price is cheaper by £3 a month.

The answer depends on the seat price you would otherwise pay. Under about 10 seats, an entry-level plan at £20 a seat costs less than any flat plan here. Against a mid-tier plan at £80 a seat, the flat price is cheaper from 3 to 7 seats, depending on the plan. Pro Suite is billed annually with a contract, so that row is not on the same billing basis as a monthly price.
Add the one-off fees
Year one looks different once setup is included. Take 10 seats, using Salesforce’s price as listed on 2 October 2026. Tax, usage charges and transaction fees are left out of both lines:
- Salesforce Starter Suite: 10 × £20 × 12 = £2,400.
- Socianet Core: £197 × 12 = £2,364, plus £250 setup = £2,614.
In the first year the per-seat plan is £214 cheaper at 10 seats. At 11 seats it costs £2,640 and the flat plan is £26 cheaper. From year two the flat plan is ahead at 10 seats (£2,364 against £2,400).
At 5 seats or fewer, the entry-level per-seat plan is cheaper in every comparison here (5 × £20 = £100 against £197).
Onboarding fees and add-ons to watch for
The seat price is rarely the whole bill. These are the items the pages themselves show, as listed on 2 October 2026:
- Required onboarding. HubSpot’s page says the Sales Hub Professional price leaves out a required, one-off Professional Onboarding fee of $1,500. Enterprise is listed from $150 per seat a month with required onboarding of $3,500. At the $90 starting price, ten Professional seats for 12 months is 10 × $90 × 12 = $10,800, plus $1,500 = $12,300.
- Free implementation above a threshold. Pipedrive’s page says implementation is free on a plan that costs more than $400 a year. It also lists paid add-ons with “starting from” prices.
- Contract terms. Salesforce’s page lists Pro Suite as billed annually with a contract required, and marks both prices as starting prices.
- Setup fees. Socianet charges a one-off setup fee of £250, £500 or £1,000, depending on the plan. Count it in year one, as we did above.
- Tier changes. When the feature you need sits on the next plan, the higher price applies to every seat. On the Salesforce prices above, 10 seats moving from Starter Suite to Pro Suite goes from £200 to £800 a month.

What “unlimited” should include
“Unlimited users” only helps if the other limits do not catch you later. Ask about three things.
- Seats. Every person who needs a login, including managers, part-time staff and people who only read reports.
- Contacts. Some plans cap the number of records or charge by contact band. Ask for the number.
- Pipelines and stages. You will want more than one pipeline once you sell more than one thing. Our guide to sales pipeline stages for small teams shows why.
What is still metered, and why
Messages and AI usage cost the vendor money each time they are used, so they are normally billed by use on any pricing model.
WhatsApp is the clearest case. Meta’s pricing documentation says it has charged for template messages on a per-message basis since 1 July 2025, while non-template messages inside an open customer service window are free (checked on 2 October 2026). Socianet’s flat price includes every seat. Messaging (WhatsApp, SMS and calls) and AI usage are billed as used. Put the contact and pipeline questions to us as you would to any vendor.
Questions to ask before you sign
- What is the price per seat on monthly billing and on annual billing?
- Who needs a paid seat? Do managers and read-only users count?
- Is onboarding or setup required, and what does it cost?
- Which plan has the features we need today? Ask about automation, reporting and a shared WhatsApp inbox by name.
- Are there limits on contacts, pipelines, storage or automations?
- What is billed by usage, and what did a team of our size spend on it last month?
- Can we remove seats during the contract, or only at renewal?
- What happens to the price at renewal?
- Can we export all our data in Excel or CSV if we leave?
- Are prices shown before or after VAT?

Frequently asked questions
What does “flat-rate CRM” actually mean?
One monthly price for the whole team, whatever the number of seats. Usage such as messages, calls and AI is normally billed separately, and there may be a setup fee.
Is there really no limit on the number of users?
It depends on the vendor, so ask whether a fair-use limit applies. Socianet’s price includes every seat and does not change when you add people. Its typical customer is a team of 3 to 50.
What if I only have two or three users?
A per-seat plan, a free tool or a spreadsheet will usually cost less. Zoho CRM’s page lists a free edition for 3 users, and HubSpot’s page lists free tools for up to 2 users (both as listed on 2 October 2026). What makes a CRM bill go up?
Five things: more seats, a move to a higher plan, add-ons, usage charges and price changes at renewal. On per-seat pricing the first two multiply each other, because a plan change applies to every seat. On a flat price, usage is the part to watch.
Can we reduce seats during the contract?
It depends on the contract. On annual terms, a vendor may let you add seats mid-term and remove them only at renewal. Ask for the rule in writing before you sign. With a flat price the question does not arise, because the seat count does not affect the bill.
